Choose the first client AI workflow.

Start with a recurring task that has an owner, usable source material, and a result you can check. A small, well-defined workflow gives your client and delivery team a practical way to learn what works.

Choose a business task before choosing a tool.

During a client review, ask where people repeatedly collect information, move it between systems, or prepare a first draft. Find the person who does the work and walk through a recent example together.

Describe the task in one sentence: when a specific event happens, a named person uses known inputs to produce a defined output. If the description still covers an entire department, narrow it.

Check five conditions.

  1. A repeatable process. The work happens often enough to observe and compare. Record the usual volume and the exceptions.
  2. An accountable owner. Someone can explain the process, provide feedback, and accept the result.
  3. Authorized inputs. The client can approve access to the required data and systems. A tool purchase does not establish that permission.
  4. A reviewable output. A person can check the result before it affects a customer, a payment, or another consequential action.
  5. A useful baseline. Measure handling time, rework, completion rate, or another outcome relevant to the task before changing it.

Illustrative example: preparing a support response.

A service team wants help finding approved guidance and preparing a draft response. The first scope could retrieve relevant internal documents, show the source, and draft a response for an agent to review. Sending the response and changing the ticket status remain with the agent during the initial evaluation.

Compare draft usefulness, source accuracy, time spent reviewing, and corrections needed against the existing process. Include difficult examples and situations where the system should ask for help.

Illustrative workflow. This example explains a scoping approach. It is not a Vixure customer case, measured result, or delivery guarantee.

Write down the stop conditions.

Pause or reduce scope if the client cannot authorize access, there is no process owner, or the requested action cannot be safely reviewed. Agree who can disable the workflow and what the fallback process will be.

Bring an outline to the first call.

Use the client-opportunity worksheet to capture the task, owner, baseline, systems, and open questions. An anonymized outline is enough to explore fit with Vixure.

Next, review delivery responsibilities and cost drivers before preparing a client proposal.

Bring one client opportunity. Start with a conversation.

Tell us what the client needs, what you already provide, and where you need delivery support. We will discuss fit and the next step. No commitment on the first call.
